Position Description

Libraries and Cultural Resources seeks a dynamic, innovative, and highly collaborative archivist to serve in the position of Electronic Records Archivist in Archives and Special Collections . This is a four-year, renewable tenure-track appointment at the Assistant or Associate Archivist level with an anticipated start date of May 1, 2019.

Libraries and Cultural Resources (LCR) is a leader in the development of innovative information resources and services, locally, nationally and internationally. In a converged environment, it successfully incorporates the resources and services of libraries, institutional and research archives, rare books and special collections, art galleries, and a university press to provide outstanding support for scholarship, learning, and the creation of knowledge. Archives and Special Collections consists of The Canadian Architectural Archives, Special Collections, the University of Calgary Archives, as well as the Library and Archives at the Military Museums.

Position Responsibilities

Reporting to the Associate University Librarian for Archives and Special Collections, the Electronic Records Archivist provides archival expertise and leadership in the acquisition, appraisal, arrangement, description, management, and preservation of born-digital records and other archival materials in Archives and Special Collections. The Electronic Records Archivist plays a leadership role in visioning and delivering an array of archival practices and services pertaining to digital records. This position's responsibilities encompass the care of born-digital corporate archival records managed by University Archives as well as born-digital records that reflect the collecting activities of Special Collections, the Canadian Architectural Archives, and the library and archives at The Military Museums. The Electronic Records Archivist collaborates closely with colleagues in Archives and Special Collections and staff in Technology, Digitization and Digital Services. This position will play a key role in the development of workflows for the ingestion, description, management, preservation, and provision of access to digital records at the University of Calgary. The Electronic Records Archivist will play an advisory role in ongoing projects to implement a campus-wide Electronic Content Management system as well as a soon-to-be implemented Digital Asset Management system operated by Libraries and Cultural Resources.


Undertakes the identification, selection, acquisition, appraisal, accessioning, arrangement and description of personal and corporate archival fonds in current and obsolete digital formats and storage media

Creates policies, procedures and workflows related to the care of born-digital records

Collaborates closely with the Archival Processing Specialist to ensure that appropriate ingestion and descriptive practices are developed for born-digital records

Contributes to planning activities related to digital preservation activities in Libraries and Cultural Resources

Provides effective reference services and research support for the holdings of Archives and Special Collections

Creates finding aids and inventories, in cooperation with the Archival Processing Specialist

Develops strong rapport and working relationships with colleagues in Archives and Special Collections, Libraries and Cultural Resources, campus business units, researchers, and donors

Interacts extensively with creators and donors

Conducts research into the born-digital recordkeeping habits of campus business units and other creators (including but not limited to writers, composers, business organizations, and architecture firms) of archival materials being acquired and managed by Archives and Special Collections

Participates in scholarly research, teaching and service

Required Qualifications

Graduate degree in archival studies or archival science from an ALA-accredited institution or equivalent, or a graduate degree in library or information studies, with a strong specialization in archives and records management

Minimum of five years of work experience in an information management, records management or archives environment

Excellent written and verbal communication, presentation, and interpersonal skills

Demonstrated ability to work independently, collaboratively, and creatively with multiple constituencies in a complex and rapidly changing environment

Proven track record of managing time and projects in a busy, deadline-driven environment

Capacity to prioritize projects and initiatives according to unit and client needs

Knowledge of digital preservation principles, standards, and solutions

Knowledge of forensic software to accession, process, and deliver born-digital records

Knowledge of digital recordkeeping habits, digital file formats, and commonly used hardware and software systems

Experience with forensic software and/or preservation management systems

Experience in establishing and maintaining control and arranging and describing born-digital records and archival materials

Knowledge of archival descriptive standards

Demonstrated capacity to think creatively, to independently conduct research, to keep informed of developments in digital culture, and to apply knowledge of emerging digital practices to archival work

Preferred Qualifications

Experience in information management, records management, or archives in a post-secondary education institution

Relevant work experience in the preservation of electronic records

Experience writing and applying for grants

Familiarity with copyright and privacy issues related to archival and special collections holdings

Demonstrated experience in developing and building strong working relationships and collaborations with academic programs and/or faculty and/or business units in a university environment
