The Records & Enrollment Services Data Specialist works to maintain accurate records and timely processing of all documents and work flows related to the admissions and registration processes, and prepares reports used to analyze both these processes and the overall enrollment management efforts of the College. The Records & Enrollment Services Data Specialist provides assistance and information to students, faculty and staff regarding admissions and registration and other areas within the Student Services division, and monitors and executes various automated background processes critical to the overall function of the College. ESSENTIAL DUTIES AND RESPONSIBILITIES: - Enter student data into the Datatel Colleague system and keep applicant records accurate and up-to-date at all times - Assists the Director of Records and Enrollment Services with required reports, not limited to (Institutional Curriculum Report (ICR), Estimated FTE, Curriculum Registration, Completion and Financial Aid Report( CRPFA) - Facilitate the admissions work flow as efficiently as possible, through the entry of applications, diagnostic and standardized test scores, non-course equivalencies, Multiple Measures for Student Placement, and transcript summary data (received date/information, attendance dates, graduation date, GPA, etc.) - Design and distribute various enrollment and analytical reports, both on established schedules and at the request of others in the College - Monitor and execute background processes such as advisor assignment, email generation, and the auto-import of CFNC applications and diagnostic test results - Process automated communications to student populations such as those with incomplete records, potential applicants, etc. - Coordinate the timely electronic archiving of student records - Make decisions regarding the eligibility for Multiple Measures for Student Placement as instructed by NCCCS policy, bringing any questions or irregularities to the Director of Records & Enrollment Services - Respond to potential student inquiries by telephone, email, and in-person, and serve as the primary staff member responsible for responding to inquiries to the BCC Admissions email address - Responsible for downloading and processing applications from CFNC, as well as maintaining the core setup of the CFNC web application (options for programs of study, application terms, etc.)
